What is data decay?

Also called: contact data decay, list decay, Decision-Maker Data Decay, List Decay Rate in Healthcare

Data decay is the gradual loss of accuracy in a contact database as people change jobs, retire, move practices, or their organizations merge and change email domains.

Why it matters for healthcare sales and marketing

A list that was accurate when you bought it gets worse every month you don't refresh it. In healthcare, decay comes from clinicians moving between practices and hospitals, executives changing roles, practices being acquired by health systems, and domains changing after mergers. It shows up as rising bounces, wrong titles and reps calling people who have left.

How it works

  • People move. Job changes, retirements and relocations.
  • Organizations change. Mergers, acquisitions, closures and rebrands.
  • Systems change. New email domains and phone systems after a merger or IT migration.
  • Roles change. Promotions and reorganizations change who decides what.

The defenses are regular refreshes against authoritative sources (such as NPPES and licensing boards for clinicians), re-verification before sends, and enrichment of the records you already hold.

Four causes of data decay: people move, organizations change, systems change, roles change, with the remedies of regular refresh and re-verification.
Contact data decays as people, organizations and systems change. Regular refresh and re-verification keep it current.

Example

Illustrative scenario. A sales team notices its connect rate falling. When Sales Ops checks a sample of CRM contacts, a noticeable share of hospital administrators have changed jobs since they were imported. The team sets up a quarterly enrichment of its CRM and re-verifies emails before every campaign.

Common mistakes

  • Buying once and reusing for years. Plan for refreshes from the start.
  • Only removing hard bounces. People who changed roles often still have working emails, just not the role you want.
  • Ignoring mergers. Health system acquisitions change domains and decision makers at the same time.
  • Measuring only at purchase. Track bounce and connect rates over time to see decay.

How MedicalProspects does it

Every MedicalProspects list is refreshed monthly against NPPES, state licensing boards, organization sources and bounce data, and emails are re-verified before each delivery.
