What is NPPES?
Also called: CMS NPPES Registry, NPI Registry, NPPES data
NPPES is the CMS system that issues National Provider Identifiers and holds each provider's public NPI record. Its data can be searched in the NPI Registry, queried through an API, and downloaded as files that CMS refreshes every month.
Why it matters for healthcare sales and marketing
NPPES is the free, public, authoritative record of who is a healthcare provider in the United States. That makes it the starting point for almost every provider data project:
- Validation. You can confirm that a contact is a real, enumerated provider and see their registered specialty and practice location.
- Market sizing. Counting NPIs by taxonomy code and state gives a first estimate of how many providers you could reach.
- Change detection. New and deactivated NPIs show who has entered or left practice.
What NPPES doesn't give you matters just as much: it has no marketing email addresses, job titles or decision-making roles, so it can't tell you who to contact at a hospital or how to reach a physician by email.
How it works
- Enumeration. Providers apply for an NPI online. NPPES issues the number and stores the record: name, entity type, taxonomy codes, licenses, practice location, mailing address and phone.
- Updates. Providers are required to report changes within 30 days. The records are self-reported, so some details, especially addresses and phone numbers, lag reality.
- Public access. CMS publishes NPPES data in three ways: the NPI Registry website for one-off lookups, the NPI Registry API for programmatic queries, and downloadable files (a full replacement file each month, plus weekly update files and a deactivation file).
Example
Illustrative scenario. A healthcare staffing firm wants to reach physicians early in their careers. Each week its data team loads the NPPES weekly update file and pulls newly issued Type 1 NPIs with physician taxonomy codes in its target states. NPPES supplies the names, specialties and practice locations. The firm then uses a verified contact source for email and phone, because the registry doesn't provide them.
Common mistakes
- Treating NPPES as a contact database. It identifies providers but doesn't provide marketing email addresses.
- Trusting every address. The practice location can be a billing office or an old address. Verify before you send direct mail or route a rep.
- Using NPPES as license verification. NPPES lists license numbers, but the state licensing board is the source of truth for license status.
- Downloading once. The file changes every week. A one-time pull goes stale as providers move, retire and register.
How MedicalProspects does it
MedicalProspects matches U.S. clinical records to NPPES at every monthly refresh, using the NPI, taxonomy codes and practice details, then adds verified business contact data that NPPES doesn't hold.
