What is state license verification?

Also called: State Medical Board Verification, primary source verification, license lookup

State license verification is confirming that a healthcare professional holds a current license in a state by checking with the state licensing board, the primary source for license status and disciplinary actions.

Why it matters for healthcare sales and marketing

An NPI confirms a provider exists, but not that they are licensed to practice today. License checks confirm active status in a specific state, which matters for staffing firms, for telehealth companies working across states, and for data providers keeping clinician records accurate.

How it works

  • Primary source: each state's licensing board (medical, nursing, pharmacy and so on) publishes license status.
  • What you learn: license number, type, status (active, expired, suspended), expiration date and, in many states, public disciplinary actions.
  • Multi-state tools: for physicians, the Federation of State Medical Boards offers lookups across member boards.
  • Linking: license numbers on the NPI record help match registry data to board data.
Comparison of what an NPI record confirms (provider exists, specialty from taxonomy, practice location) and what a state license check confirms (licensed in that state, status, expiration, public discipline).
An NPI confirms who a provider is; a state license check confirms they can practice there today.

Example

Illustrative scenario. A healthcare staffing firm sources nurse practitioners for telehealth roles in five states. Before outreach, it checks each candidate's license status in those states and only contacts those who are actively licensed where the client needs them.

Common mistakes

  • Treating NPI as proof of licensure. NPI records can list licenses, but boards are the source of truth.
  • Checking one state for a multi-state role. Licensure is state by state, apart from interstate compacts.
  • Checking once. Licenses expire and statuses change.

How MedicalProspects does it

MedicalProspects matches U.S. clinician records to state license status as well as to NPPES at each monthly refresh.
