What is a rep-triggered email in pharma?
Also called: RTE, approved email
A rep-triggered email (RTE) is a pre-approved email template that a pharmaceutical or MedTech sales representative can personalize slightly and send to a healthcare professional, usually from inside the company's CRM.
Why it matters for healthcare sales and marketing
Life sciences promotion is tightly regulated, so reps can't write their own promotional emails. RTE lets reps follow up with clinicians in a personal, timely way while staying inside approved content.
How it works
- Templates are reviewed and approved by medical, legal and regulatory teams.
- Reps pick a template, add limited personal fields, and send from the CRM.
- Consent and opt-out rules apply, and the CRM records what was sent.
- Measurement: opens, clicks and follow-up activity feed back into call planning.
Example
Illustrative scenario. After a lunch meeting, a rep sends the physician an approved email with a link to new safety data, selected in the CRM and personalized with the meeting date. The physician's clicks appear in the rep's call plan.
Common mistakes
- Reps writing free-text promotion. Use approved templates only.
- Ignoring opt-outs. Suppress across RTE and marketing email.
- Too many templates. Keep a small, relevant set.
